Delete your WELMA account

You can delete your WELMA account and personal data at any time, whether or not you still have the app installed. Enter the email address you sign in with and we will send you a confirmation link.

For your security we always reply the same way, whether or not the address has an account. Nothing is deleted until you open the link we send.

What deleting your account does

Permanently removed

  • Your name, nickname and pronouns
  • Your email address, phone number and profile photo
  • Your job title, employee ID and DBS certificate number
  • Your emergency contact details
  • Your training records
  • Your password and every sign-in method
  • All app sessions and push-notification devices

Kept, but not linked to you

  • Daily logs, incident reports and body maps you wrote
  • Medication administration records you signed
  • Handovers, key work sessions and welfare checks you recorded
  • Care plans, risk assessments and goals you updated
  • Audit-log entries showing when records were changed

These are records of a child’s care, not of you. Children’s homes in England must retain them under the Children’s Homes (England) Regulations 2015 and Ofsted’s retention requirements, so they cannot be erased on request — this is the “legal obligation” basis in UK GDPR Article 17(3)(b). After deletion they show as written by “Deleted user” and can no longer be traced back to your name, contact details or login.

Other ways to delete your account

In the mobile app: open the app, go to Settings › Account › Delete account, and confirm with your password.

On the web app: sign in, go to Settings › Profile, and use Delete account at the bottom of the page.

If you manage an organisation: if you are the only administrator of an active organisation, hand that role to a colleague first, or close the whole organisation instead — otherwise your homes would be left with nobody able to administer children’s records. Email onboarding@welcare.ai if you need help with either.

How long it takes

Immediately. Your personal data is overwritten and every session is revoked the moment you confirm — there is no waiting period and no way to undo it. Encrypted backups taken before the deletion roll off on their own schedule within 35 days.
